Dr. Sam’s Veterinary House Calls is a full-service Veterinary practice with a standing clinic located in the Lehigh Valley (Allentown area) in eastern Pennsylvania. Our medical care encompasses everything from new puppy/kitten exams, to sick pets, to hospice care. We utilize a variety of portable diagnostic equipment (including mobile radiographs). Working in the home allows us to foster close patient and client relationships, while our clinic allows us the option to see patients in clinic and to perform surgeries and procedures.  We offer a Monday-Thursday 4-day work week, off every Friday, Saturday and Sunday, paid major holidays (for full time employment after 90 days of employment), and a friendly staff. We encourage continued staff education and foster a genuine curiosity and love for the veterinary field.

About the Role

We are seeking an organized, proactive, and people-centered Practice Manager to oversee the daily operations of our small veterinary practice, which provides care through both mobile appointments and in-clinic services. This role is ideal for someone who enjoys building efficient systems, supporting a collaborative team, and creating an excellent experience for clients and their pets.
The Practice Manager will work closely with the practice owner and veterinary team to keep operations running smoothly, strengthen team communication, support client service, and help guide the continued growth of the practice.
 

Key Responsibilities

  • Oversee day-to-day operations for both mobile and in-clinic services, ensuring appointments, workflows, and team communication are well coordinated.
  • Manage staff scheduling, time-off requests, task assignments, and daily coverage needs.
  • Support hiring, onboarding, training, coaching, and performance feedback for team members.
  • Promote a positive, respectful, and accountable workplace culture.
  • Monitor client communications, service standards, and follow-up processes to ensure a warm and professional client experience.
  • Help resolve client concerns with empathy, professionalism, and good judgment.
  • Coordinate inventory, ordering, vendor relationships, equipment readiness, and mobile-service supplies.
  • Assist with billing, deposits, invoices, payroll preparation, budgeting, and basic financial reporting.
  • Maintain practice policies, records, compliance processes, and standard operating procedures.
  • Identify opportunities to improve efficiency, communication, client retention, and practice growth.

What We’re Looking For

  • Previous experience in veterinary practice management, animal healthcare, medical office management, or a comparable operations leadership role.
  • Strong organizational skills and the ability to manage competing priorities in a small, fast-moving practice.
  • Excellent communication skills with staff, clients, vendors, and leadership.
  • Comfort working with practice management software, scheduling systems, email, spreadsheets, and basic financial information.
  • Sound judgment, discretion, and professionalism when handling sensitive client, staff, and business matters.
  • A collaborative leadership style with the ability to coach, motivate, and hold team members accountable.
  • Flexibility and problem-solving ability, especially when supporting both clinic-based and mobile veterinary operations.
  • A genuine commitment to animal welfare, client service, and team wellbeing.

Preferred Qualifications

  • Experience in a small veterinary practice, mobile veterinary service, house-call practice, or mixed-service environment.
  • Knowledge of veterinary inventory, controlled substance protocols, OSHA/safety expectations, and client communication workflows.
  • Experience with budgeting, payroll support, accounts receivable, and practice performance reporting.
  • CVPM certification or interest in pursuing veterinary management continuing education is a plus.
